Our experience with ActiveCollab has been centered around attempting to streamline our task management processes for various projects and clients. While the platform offers some useful features such as task brief storage, file sharing, and comment notifications, it falls short in several key areas. The workload/scheduling function is deemed impractical and plagued by issues, limiting its usefulness. ActiveCollab serves primarily as a repository for task-related information and communication, providing a simpler alternative to email and Slack threads. On the positive side, the platform allows notifications for task comments, file uploads, and the assignment of tags to tasks. Additionally, users can manually input time-off information for Out of Office (OOO) updates. However, notable drawbacks include the inability to designate staff as part-time, requiring manual OOO entries for each non-working day. Furthermore, the rigidity in treating all team members as working the same hours per day undermines the effectiveness of the capacity planner for flexible working teams. Subtasks pose challenges as well, lacking the ability to have individual hours and deadlines, disrupting the chronological order in the To-Do list view and rendering the capacity planner incomplete. The absence of a unified view for tasks across different campaigns hampers efficient management, with the support team suggesting the cumbersome workaround of exporting data and creating spreadsheets. The absence of a Kanban view for personal task lists and the inability to assign one task to multiple people further limit the platform's flexibility. Additionally, the lack of notifications for task updates requires manual tagging and commenting to keep everyone informed. In conclusion, ActiveCollab may be a viable option for those on a tight budget who cannot afford a more advanced tool, providing a basic solution rather than nothing at all.

The platform offers the advantage of easily adding clients as guests and controlling their level of access. A notable feature is the ability for clients to initiate and respond to discussions via email. The formatting options for discussions contribute to improved readability. However, the platform has its drawbacks. One limitation is the inability to link individual comments, making it challenging to reference specific points in discussions. Additionally, the inability to turn off unnecessary features poses an issue for our communication-centric use, as it would be preferable to disable irrelevant tasks and streamline the interface. Another inconvenience is the lack of a straightforward method for setting up different projects under the same client. In terms of recommendation, ActiveCollab is better suited for those seeking project management software, given its primary focus on tasks and project management tools. The time tracking and invoicing components add value in this context. However, for those prioritizing a communication portal, the project management features may hinder usability and prove less beneficial.

The product seemed promising during the trial, but post-trial, user-friendly access vanished, replaced by complex steps for server data transfer. Despite Active Collab's friendly support, it took weeks to initiate. Functionality was limited, only accessible externally, rendering it useless at the office. Now, login issues persist, with no recognition as a user and email recovery failures. My advice: skip this and opt for hassle-free Google Drive, sacrificing some features for a smoother experience.
